SUMMARY - Part time position

Under the direct supervision of the Director of Human Resources, the HR & Volunteer Coordinator supports the Human Resources department by overseeing all aspects of Esperanza’s volunteer and intern programs and contributing to broader HR initiatives. This role ensures that all volunteer, intern, and independent contractor processes align with HR compliance standards and agency needs. The Coordinator also assists with employee training and organizational development initiatives in collaboration with the HR Director and departmental leaders. This position requires strong collaboration across departments and the exercise of sound independent judgment.

*This is a part-time, hourly position; 20–24 hours per week.*

ESSENTIAL DUTIES AND RESPONSIBILITIESVolunteer & Intern Program Management
  • Oversees all aspects of Esperanza’s volunteer program.
  • Develops and maintains volunteer materials.
  • Maintains comprehensive volunteer records, including individual files, COIs, MOUs, HIPAA/OSHA compliance documentation.
  • Responds to volunteer inquiries; recruits, screens, and interviews volunteer and intern candidates.
  • Coordinates onboarding of all volunteers, including required paperwork, ID badges, HIPAA/OSHA training, and placement with managers.
  • Serves as liaison between volunteers and department directors/managers to ensure effective placement and supervision.
  • Recruits and manages volunteers for organizational special events in collaboration with directors/managers and with approval from HR Director.
  • Provides ongoing volunteer support (e.g., meetings, check-ins, informational updates).
  • Partners with leadership to identify and develop new volunteer roles and projects.
  • Works with the Risk Manager to identify and mitigate volunteer-related risks.
  • Tracks and reports volunteer and intern hours.
  • Conducts annual evaluations of the volunteer program.
  • Plans and implements volunteer appreciation efforts, including thank-you events, recognition gifts, and other forms of acknowledgement to celebrate volunteer contributions.
Exit & Feedback

  • Coordinates volunteer exit interviews or surveys to assess program effectiveness and identify areas for improvement.
Independent Contractor & HR Compliance
  • Develops and maintains systems for collecting and tracking independent contractor documentation (e.g., certificates of liability, W-9s, contracts).
  • Works with HR Director to ensure proper classification of independent contractors in accordance with FLSA guidelines.
  • Provides training to managers on employee vs. independent contractor classification as needed.
HR Training & Organizational Development
  • Assesses organizational training needs and proposes relevant training topics.
  • Develops and delivers training presentations in small and large group settings.
  • Collaborates with HR Director and department leaders to implement trainings that support compliance, employee engagement, and professional development.
  • Conducts evaluations following training sessions to assess impact and effectiveness.
  • Ensures training compliance tracking for all volunteers and employees in alignment with FTCA and internal standards. Tracks workforce training completion, collects attestations, and conducts appropriate follow-up when trainings are missed.
  • Travel to all three Esperanza sites is required; this position is based out of the Hunting Park (HP) office.
QUALIFICATIONS
  • Bachelor’s degree in a related field required.
  • Prior experience in HR, training, volunteer coordination, or nonprofit program management preferred.
  • Ability to work independently, manage time effectively, and meet internal and external deadlines.
  • Strong organizational skills and attention to detail.
  • Knowledge of local, state, and federal labor laws related to volunteers and independent contractors.
  • Experience developing and delivering training in both small and large settings.
  • Demonstrated ability to communicate with, supervise, and empower a diverse group of volunteers and staff.
  • Proficiency in Microsoft Office Suite.
  • Ability to integrate Christian faith into the workplace; willing to pray with others and participate in Esperanza’s spiritual life as appropriate.
  • Performs other duties as assigned to support the mission and operations of Esperanza Health Center.
CONFIDENTIALITY

  • Maintains confidentiality of sensitive volunteer and patient information, including compliance with HIPAA.
WORKING CONDITIONS
  • Must be able to work flexible hours as needed.
  • Must be able to read fine print on paper and electronic records.
  • Must be able to travel to and work from all Esperanza sites and occasional offsite locations.
  • Must be able to use presentation equipment, stand or sit while presenting, and speak on the phone.
